Banquet captain.

A banquet captain is the senior front-of-house staff member who runs an event on the night — briefing servers, managing timing, talking to the client lead and escalating issues — and owns execution of the BEO from setup through strike.

Also called an event captain or floor captain, they are the one person accountable for the room once guests arrive. Every event needs one named captain on the BEO, with a mobile number.

What the captain owns

The captain is where the plan meets the floor. Before doors, they read the BEO and brief the team — who is on which table or station, what the menu is, which allergies are critical, and how the night is timed. During the event they run the run-of-show: calling guests from the cocktail reception to dinner, cueing courses and speeches, pacing the bar, and keeping service on schedule. They are also the venue's single point of contact for the client's lead, so questions and changes flow through one person instead of scattering across the floor.

When something goes off-script — a late speech, an extra table of guests, a delayed kitchen — the captain makes the call and adjusts the rest of the night around it. That authority is why the role is senior: they direct servers and bartenders, hold the timing, and answer for how the event actually ran. On the BEO the captain is named with a mobile number so everyone, including the client, knows exactly who is in charge.

Captain vs coordinator

The two roles are often confused because both "own" the event — but at different stages. The coordinator owns the booking beforehand; the captain owns the execution on the day.

Example. A 200-guest gala lists captain D. Naidoo on the BEO with a mobile number. She calls staff at 3:00 PM, briefs twelve servers on the plated menu and two critical nut allergies, and runs the run-of-show: reception at 6:00, dinner service at 7:15, speeches at 8:30. When the keynote overruns, she holds dessert ten minutes and re-cues the kitchen — one decision, made by the one person the whole floor answers to.
