What is a room hold?
A room hold is a non-binding, temporary reservation of a date and room while a client decides whether to book. The venue pencils the date in and gives the client a short window — usually 24 to 72 hours — to confirm with a deposit before the hold is released and the date opens back up.
Also called a tentative or soft hold, it sits between an enquiry and a confirmed booking: the client is interested but not yet committed, and no money has changed hands.

Venues track a date's status in stages: enquiry, tentative (held), then definite (booked). A room hold parks a date at "tentative" so it doesn't get double-sold while the client makes up their mind. The hold has an expiry — commonly 48 or 72 hours for peak Saturday dates, sometimes a week or more for slower midweek slots — after which the coordinator either converts it to a confirmed booking with a signed contract and deposit, or releases it.
Popular dates often carry first-right-of-refusal language. If a second client wants a date that is already held, the first client is contacted and given a short window — typically 24 hours — to confirm or step aside. This lets a venue stack interest on a hot date without losing a ready-to-sign second party. A hold is not a contract: because no deposit has cleared, the venue is not obligated to honour it if the client goes silent past the expiry.
A hold in practice.
A couple tours the Grand Hall and asks to hold Saturday, 13 June for 150 guests. The coordinator places a 72-hour soft hold and emails the contract. Two days later a corporate client enquires about the same date. Under first-right-of-refusal, the coordinator contacts the couple, who now have 24 hours to sign and pay the 25% deposit. They confirm the next morning — the hold converts to a definite booking, and the corporate enquiry is offered the adjacent room. Had the couple not responded, the hold would have lapsed at hour 72 and the date released to the second party. No deposit was ever at risk, because a room hold carries no payment.
